How to compress a resume PDF for job applications

A resume exported from a word processor is usually small already. The weight, when there is weight, is an embedded photo, a scanned certificate, or a font the exporter packed into the file. Job and application portals are typically 2–5 MB per file. That number varies by site. Read the note beside the upload box.
This guide keeps the words selectable. Applicant-tracking parsers, as they are typically built, need text they can read. Flattening the CV into one picture can make the file look simple and make the parser fail. That trade is called out here and nowhere else in these compress guides.

What you’ll do
- Check the file size before you compress. A text CV may already be under the portal’s note.
- If it is over, run Compress PDF Light. Do not start with Strong on a text-only CV.
- If certificates are the weight, split them from the CV when the portal allows several files.
- Use the 2 MB target on Compress Any when the portal’s note is in that band.
- Strip Author and Title metadata with Share Safe before you apply, if an old name is still in those fields.
How to
Check the size you already have
Open the PDF’s size in the file list. Many text CVs are a few hundred kilobytes. If you are already under the portal’s note, do not compress. You would spend quality you do not have to spend. Confirm the text still selects in an ordinary reader. If it selects, a parser has a chance.
Find the real weight
A headshot, a scanned degree, or a portfolio page embedded in the CV is the usual reason a “one-page resume” is 8 MB. The words are not the problem. If the portal allows several files, put the certificates in a second PDF and leave the CV as text. If it allows only one file, Light is the first compress, not Strong.
Light, then look

2 MB on Compress Any when you need a target

It varies by site — the upload note wins if it says 5 MB or 1 MB. If the target cannot be reached, you see the closest honest size, not a fake file.
Split certificates from the CV
When the portal allows more than one file, the certificate scans can travel separately. The CV stays a text PDF. You avoid Strong on the page where your job titles live. Name the files so a reviewer can tell the CV from the annex.
Strip old metadata, then apply
Author and Title can still show a previous employer, a template vendor, or another person’s name. Share Safe clears those fields, and can redact a line that should not be on the page, in one pass on this device. Do that before you upload. Compress does not edit the Author field.
Why Strong is the wrong first move
Strong recompresses pictures. On a text-only CV it often gains almost nothing, and small type that lives inside a picture can soften. Your headings, if they are real text, survive Light. If you flattened the page earlier, Strong is now damaging the only copy of those letters. Do not flatten a CV to chase size.
Parsers typically need selectable text. That varies by site, and no parser is promised here. The honest habit is still: keep the text as text. A portal that only wants a picture will say so. Until it does, Light plus a split certificate pack is the professional send.
Honest limits
Typically 2–5 MB, varies by site. A portal at 500 KB is a form-cap problem, not a resume problem — use the 1 MB guide and expect a scan-heavy annex to fail before the CV does. Never Strong a text-only CV for sport. Do not flatten the text into an image.
Embedded photos and odd fonts are the usual weight. Light usually fixes a font-heavy export. A full-page colour certificate may not fit beside the CV in one file. Split it. If the portal refuses a second file, ask whether the certificate can follow by email. Inventing a tiny unreadable CV is not an application.
Tips
- Select a line after every export. If you cannot select it, you already flattened it.
- Remove the headshot if the portal does not ask for one. It is often the heaviest object on the page.
- Keep the word-processor file. You can export again if a portal’s note is tighter than you expected.
