How to make a simple invoice PDF free
A PDF you can send
A simple invoice is a From, a Bill to, a number, a date, a due date, and a few lines with quantities and prices. Priceory Invoice Desk makes that PDF on this device. Nothing is uploaded. You download the file and send it yourself.
This is not the job of reading someone else’s invoice into a spreadsheet. That guide is invoice PDF to spreadsheet. Here you are writing the invoice, not extracting one.
The amounts show a dollar sign. There is no currency-code label on the page. Tax starts at zero until you type a percent.

What you’ll do
- Open Invoice Desk and choose Start invoice.
- Fill From, Bill to, the invoice number, the date, and the due date.
- Add at least one line with a description, quantity, and unit price.
- Set tax percent if you charge it. Leave notes and the thank-you line honest.
- Download the invoice PDF and open it before you send it.
How to
Start invoice
Open Invoice Desk. The first button is Start invoice. That moves you from the start stage into the form. Typing has not downloaded anything yet. A first visit numbers the invoice INV-1. After you export, this device can remember the next number, so the following invoice continues the sequence instead of repeating INV-1.
Write who it is from and who it is to
From has name, email, and address. When you save that block, it stays on this device only, so the next invoice can start with the same From. It is not an account on a server. Bill to is the other party. If this device remembers a last client, you can use that chip. Check the name before you trust it. Last month’s client is a common mistake.
Set the number, the date, and the due date
Invoice #, Date, and Due date are on the form. The date defaults to today. The due date defaults to 14 days later, unless this device already remembers a due offset you chose before. Change either field. A due date you did not look at is how a seven-day job goes out as fourteen. The number can be edited. Padding and prefix live with that on-device sequence if you have set them.
Add the lines
Each line has Description, Qty, and Unit. Amount is quantity times unit price, shown with a dollar sign. Add line for the next item. Remove line drops one you do not want. A line with an empty description is not billed. If every line is empty, the tool refuses: Add at least one line item. That refuse is the product working. Tax % starts at 0. Type a percent only when you actually charge tax. The preview updates as you type. On a narrow screen, Show preview and Show form switch which pane you see.
Notes, thank-you, and an optional logo
Notes is free text. If you previously saved default payment terms on this device, a new invoice can prefill them when notes are empty. Read them. The thank-you line starts as Thank you for your business. Change it if that sentence is wrong for this client. Brand Kit is optional: a logo and an accent, still on this device. You can make the invoice without it.
Download the PDF
When the preview reads like the invoice you mean, download it. The result says your file is ready, and the primary button is Download invoice PDF. An optional JSON records copy can sit beside it. JSON is a records copy of this invoice, not a second design. Open the PDF in an ordinary reader. Check the total, the due date, and the Bill to. Then send that file. The companion job, invoice to spreadsheet, is for a PDF you received, not for the one you just wrote.
What a simple invoice is not
Invoice Desk does not file taxes, talk to an e-invoice network, or tell you which fields a local law requires. It does not pull lines out of a PDF you were sent. It writes a clean PDF from the fields you typed. If you need a quote instead, Quote Desk is the other door on the same desk. A quote is not an invoice. Do not send the wrong one because the layout looks similar.
A signature on the invoice, a smaller attachment, or a metadata strip are later jobs. Finish the numbers first. Quote Desk is the sibling when the document is an offer rather than a bill.
Honest limits
Empty invoices are refused. The tool will not invent a line item, a tax rate, or a client. Amounts use a dollar sign only. If you bill in another unit, the symbol will not rename itself, and this page will not pretend it did. The PDF is a document you can send. It is not a payment. Pay QR is a different tool if you also need a code.
Free is 5 completions every 24 hours per device. A finished invoice PDF download is one completion. Typing, the preview, and a saved From block do not upload the invoice and do not by themselves download it. Unlock is $0.99/day. Pro is $3.99/mo. The same on-device promise holds on every plan.
Tips
- Read Bill to out loud once. Autofill from the last client is convenient and easy to leave stale.
- Set tax to zero on purpose when you do not charge it, so the total matches the lines.
- Open the PDF and check the due date against the promise you made.
- Keep the JSON only if you want a records copy. The client usually needs the PDF.
When the tool says no
- Add at least one line item — every description was empty.
- This desk will not invent tax, a client, or a legal invoice format. You type what is true.
- A quote belongs on Quote Desk. Do not relabel a quote PDF as an invoice by renaming the file.
